In Spring 2024, the Compliance and Ethics Advisory Committee tasked University Compliance and Ethics with establishing and leading a Compliance Training Workgroup. This Workgroup is comprised of compliance offices and partners from across the university who develop and deliver training courses related to regulatory compliance. The Workgroup was charged with streamlining mandatory compliance training and transitioning all employee-facing courses into Workday. This move aims to simplify access and completion for employees while improving record-keeping within their personal training summaries.
Meeting quarterly, the Workgroup focused on updating the Master Compliance Training Plan to identify opportunities for course consolidation and has developed a shared calendar to better coordinate the launch of mandatory campus-wide training and reduce overlap. Additionally, the transition of compliance training from UCF WebCourses to Workday has created a centralized platform for required employee-facing courses.
Key Accomplishments
The Workgroup has achieved several notable milestones:
- Workday has been successfully integrated with external training platforms such as CITI (for research-related training) and KnowB4 (for information security related training). Course completions from these platforms are now automatically reflected in employees’ Workday Learning Summaries within 24 hours, providing a centralized location for tracking completed training.
- At the request of the Faculty Senate Budget and Administration Committee, the Workgroup provided detailed regulatory justifications for required faculty training. Faculty members found this information valuable and suggested additional enhancements, including a training dashboard to monitor required courses, ‘test-out’ options, and the consolidation of overlapping content to reduce the overall training burden.
- The Workgroup coordinated consistent deadlines and messaging across the courses. By standardizing deadlines (e.g., 30 days from launch) and using clear, uniform communication, employees have a better understanding of expectations and timelines for completing training.
- Most employee-facing compliance courses have been transitioned from UCF WebCourses to Workday, with only a few pending migration.
Next Steps
The Workgroup continues to focus on the following priorities:
- Completing the migration of all required compliance courses into Workday to ensure employees’ Workday Learning Summaries accurately reflect completed training. For courses that cannot be moved into Workday, such as those located within CITI and KnowB4, integration with Workday remains a key objective.
- Identifying and consolidating courses with overlapping content to meet the training needs of multiple compliance and partner offices more efficiently.
- Collaborating with faculty to reduce the burden of mandatory training while maintaining compliance with state, federal, and university regulations and policies.

As the Compliance Training Workgroup continues its mission, the focus remains on streamlining training processes, enhancing accessibility, and reducing the burden on employees while maintaining regulatory compliance. Through collaboration and innovation, the Workgroup is building a more efficient and user-friendly training environment that supports the university’s strategic goal to be a best place to learn and work.
